Overview

Office Leadership & Operations
Assists the Registrar in the management and day-to-day operations of the Office of the Registrar, ensuring that office functions are carried out accurately and that the needs of all stakeholders are met in a timely manner. Serves as Registrar in the Registrar's absence. Assists the Registrar in maintaining accurate student records. Responsible for developing, implementing, and maintaining office procedures and processes. Recommends and reviews changes to relevant university policies. Assists in implementation of federal student academic regulations including FERPA. In cooperation with the Registrar, initiates and spearheads projects in support of office goals. Serves on university committees and workgroups as appropriate. Works collaboratively with the Registrar, Director of Student Financial Aid, Bursar,Vice Provost for Enrollment Management & Academic Programs, and other academic leaders to solve problems, identify solutions, and implement needed changes. Interprets and enforces academic rules and regulations. Supervises the Business Data Analyst: establishes priorities, delegates responsibilities, identifies training needs, and evaluates performance. Oversees the work of the registration operations and technology and curriculum teams, ensuring all tasks are completed in a timely and accurate manner.

Information Technology
Serves as the Information Technology expert for the Student Information System (Ellucian Banner), the data reporting tool (Cognos), the Degree Audit system (DegreeWorks), and the Document Imaging system (On-Base). Works with OHSU Information Technology staff on upgrades, testing, implementing new functionality, and developing solutions to operational problems. Creates data reports to serve operational needs. Implements approved curricular changes and new programs in Banner and DegreeWorks. Provides training and documentation for other staff as needed. Ensure accurate coding of students and programs in Banner.

Tuition & Fees
Works with high level Academic and Finance administrators to compile, publish and implement the annual OHSU Academic Year Tuition & Fee Book. Prepares all doucments and processes that accompany the Tuition & Fee Book including all documents used by the Board of Directors for review and approval. Defines and maintains all tables and forms in the Student Information System that pertain to the application of academic tuition and fees on to student accounts. Manages, builds and maintains the Tuition and Fee Billing tables within the Student Information System that will be validated and used by Student Accounts Receivable in the application of tuition and fees onto student accounts. Works with Student Accounts Receivable to ensure correct application of tuition and fee charges to all OHSU students. Solves student billing problems and manages corrective action to ensure proper assessment occurs and is maintained. Annually compiles and completes various surveys related to tuition and fee charges.

Enrollment Reporting
Oversees the federally required enrollment reporting processes, including submission of accurate reports to the National Student Clearinghouse (NSC) and the National Student Loan Database System (NSLDS). Ensures compliance within established deadlines. Monitors accuracy of data in NSLDS and makes corrections as needed. Participates in financial aid audits and gainful employment reporting. Oversees mandatory state enrollment reporting.

Responsibilities

Bachelor's degree
Five years increasingly responsible experience independently managing complex projects in a college or university office responsible for student registration and records, financial aid, student accounts, or enrollment management.
Extensive experience with student information systems (such as the Ellucian Banner Student Information System), including configuring, problem-solving, and using reporting tools (such as Cognos) to query data and write data reports. Experience developing and implementing technical solutions and efficiencies in processes.
Ability to prioritize tasks in a fast moving environment to ensure smooth service to stakeholders.Ability to make decisions and exercise substantial independent judgement with minimal supervision.Ability to independently manage multiple projects and meet deadlines.Ability to maintain a high level of confideniality and exercise discretion; knowledge of FERPA.Excellent higher-order critical thinking, organizational, and problem-solving skills.Excellent written and verbal communication skills.Advanced skills in Microsoft Word, Microsoft Excel, Microsoft PowerPoint and email systems.Demonstrated record of reliable attendance, punctuality and proven successful performance.
Qualifications

Master's degreeExperience specifically with the Ellucian Banner Student Information System and the DegreeWorks degree audit system.
