Overview

The School of Dentistry (SOD) Patient Services Coordinator provides leadership, guidance, and comprehensive training for Patient Support Services staff. This position is responsible for providing courteous and comprehensive administrative support services for patients, students, faculty, staff, and visitors at the OHSU Dental Clinics in the School of Dentistry.

This position works with the Patient Services Manager and the Director of Patient Support Services and Operations to provide leadership, expert guidance and oversight for Patient Support Services staff consistent with the operational requirements and customer service philosophy for OHSU Dental Clinics. The duties of the Patient Support Services staff include but are not limited to answering phones, patient registration, insurance verification, collection of payments, balancing cash drawers, answering billing questions, and other administrative tasks as assigned that support all of OHSU Dental Clinics.

The Patient Services Coordinator is responsible for knowing SOD all clinic policies including but not limited to appointment scheduling, payments, and insurance, and must be able to communicate these policies to patients, faculty and visitors, as well as train staff to communicate these policies as well. All PAS Specialists have high public contact both in person and on phones and deal with patients and staff in a positive and consistent manner. Each employee must interact with patients, some in acute dental pain, in a friendly, knowledgable, and appropriate manner. This position will be responsible for coordinating personnel work duties, schedules, and arranging coverage across all SOD PAS desks and the Russell Street Clinic.

A successful Patient Services Coordinator will work collaboratively with the Patient Services Manager to build and maintain a team of PAS who are knowledgable, flexible, and provide a superior patient experience on a daily basis. This position will monitor the performance of PAS Specialists, through reports and metrics, and provide guidance through the training period and administer competencies to assess staff proficiency in new workflows. The position with track successes and follow up on opportunities for improvement. The Patient Services Coordinator is expected to have strong relationship building skills, excellent communication skills, exceptional customer service skills, and be a highly effective team leader.

Monday - Friday, 8am-5pm with a one-hour lunch. Work is in a patient care environment, which includes noise, small spaces, long periods of sitting or standing.

Two years of front-line clerical experience in a clinical setting with direct patient contactExperience must include scheduling of appointments and obtaining managed care authorizationsExperience in orienting and training new staff in scheduling procedures and policiesAbility to provide leadership, expert guidance and oversight of PAS Specialists and PAS Resource SpecialistsAbility to assist hiring manager in interviewing and hiring new staffAbility to become an expert in all the PAS scheduling software systems, scheduling policies and proceduresAbility and experience in investigating clinic scheduling errors, patient volume and flow, missed appointments, and providers' time utilizationMust have the ability to recommend operational changes as neededDemonstrates excellent investigatory and inquiry skills related to provider and patient concerns and to resolve issues with a high level of diplomacyGeneral computer proficiency, including the use of Microsoft Outlook, Word, and ExcelPrevious cash handling experienceAbility to maintain cash drawer accuracyMust have excellent written and oral communication skillsMust have numerical comprehension skillsAble to maintain the confidentiality of informationExercise discretion when dealing with issues of a sensitive natureAble to accurately enter and maintain sensitive data and patient information into electronic computer databaseEmployee must be able to multi-task and demonstrate high productivity while working in an environment with many interruptions, distractions and limited physical spaceProven reliability in attendance and accountabilityAbility to be flexible and work independently with little or no supervision
